reply and a return whinge

Unfortunately, it happens all the time. People run into an
unexpected money crunch, or they get sick or go on vacation and
forget about you. I'd say that if you can't afford to spend the cash
on something that may sit around, you probably shouldn't offer that
item anymore. I usually send an email saying something like "Hi, I
was going over my books and I can't find a receipt for your payment
of item X which you ordered on X day. Can you please help me out and
tell me when and how the payment was sent? Thanks!" That way it
doesn't sound like you're mad and gives them the chance to respond
without defending themselves. This usually works well.
My problem lately is packages not arriving. I've had two packages in
the last few months where I sent them out on time but the customer
says they never arrived. One was a regular website order with no
insurance. The woman was really patient and nice about it so I sent
her a replacement. Another was an Ebay sale which did have
insurance. The guy was just plain hostile almost from the beginning,
even though it was me who wrote to him several times to see if it had
arrived and to help him go through the insurance claim process. He
claims he FedExed me the letter I need to bring to the Post Office to
get the money back but I never received it. In this case, I did not
send a replacement, although if he ever gets me the insurance letter,
I'll mail a replacement package out the same day.
How do other people handle this kind of thing?
